Veris Lead Recovery

Every lead answered. Every follow-up accountable.

A lead follow-up system installed on the tools you already use. It puts a name and a clock on every enquiry, tells the right person the moment one arrives, follows up until the customer answers or books, and shows you what moved. Installed in 14 days.

The leak check is free and takes about three minutes. No sales call required to see your number.

Why are you losing customers you already paid for?

Someone who wants a quote often asks two or three companies at the same time. Whoever answers first gets the first conversation. The leads you lose rarely say no; they go cold while nobody replies. Does any of this sound like your week?

  • The Saturday enquiry answered on Tuesday. By then they had called two other companies, and one of them picked up.
  • The shared inbox nobody owns. Everyone assumed someone else replied. Nobody did.
  • "I thought you called them back." Two people, one lead, zero calls.
  • The lead platform emails buried between invoices and newsletters, paid for and never opened.
  • The quote that went out and was never chased. It was not a no. It was a forgotten maybe.
  • The no-show nobody rebooked, and the customer from last spring nobody asked back.

None of this is a people problem. Your team is busy doing the work. The enquiry that arrives while the crew is on a job, or after six, or during the lunch rush, simply has no one whose job it is to notice it.

How fast should you answer a new lead?

Inside a target you set, in business hours, every time. Sales teams call this speed to lead. Here is how the system holds you to it.

1. Capture

Your website form, your lead inbox and the notification emails from the platforms you pay for all land in one list. Repeats are merged, not doubled.

2. Assign and start the clock

Each lead gets an owner by your rules and a response target in business hours. Fifteen minutes is the default; you choose.

3. Alert and acknowledge

The owner gets a text with the lead and one link. The customer gets a short note in your words, only if they agreed to texts. Miss the target and the system tells the owner, then the backup.

4. Follow up until they answer or book

Polite, spaced, bounded. The moment the customer replies or books on your calendar, the automated messages stop and a person takes over.

What you will see

One page with the numbers that decide whether a lead becomes a job.

  • How fast you really respond, the median and the slowest ten percent, in clock time and in business hours.
  • The funnel: received, assigned, answered inside the target, real conversations, appointments booked and held, won, referral asked.
  • The recovery list: every lead with no response, past its target, stalled for a week, or asking to book with no appointment.

Every number links to the leads behind it. If a tile says 22, you can open the 22. An automated message never counts as a response, and nothing is ever called "recovered revenue" because a text went out.

The objections, before you raise them

"My team will not use another tool."

I believed the same about my own business, and I was wrong. For 57 days our own website contact form said "thank you" to every visitor and told nobody. Each enquiry went into a table no one opened. We were lucky: the only thing in it was spam. That is why this system comes to your people by text, and why the only thing they ever have to type is DONE.

"I do not want robots texting my customers."

Nothing goes to a customer until you approve the exact words. Texts go only to people who ticked the box to receive them. STOP works instantly, on text and email, and only the person can undo it, by texting START. You can start in alert-only mode, where only your own team is notified, and stay there as long as you like.

"We already have a CRM."

Keep it. Lead Recovery sits in front of it, times the first response, and can write each lead and each step back into it.

Ninety days from now

With it

  • Every enquiry has a name next to it within minutes, including the ones at 7 pm on a Friday.
  • You know your real response time, and it is going down.
  • No-shows get a rebook message the same day. Last spring's customers get asked back.
  • You make decisions about ads and staffing from numbers you can click into.

Without it

  • The same leak, every week, invisible because nobody counts what was never answered.
  • More money into ads to replace the leads already paid for.
  • The busiest weeks lose the most, because that is when nobody has a minute.
  • The question "how fast do we really respond?" still has no answer.

What is included, and what we need from you

Included in Essentials

  • One lead source connected (form or lead inbox), plus an import of your past leads
  • Owner assignment, response clock and escalation to a backup
  • Owner alerts by text, with DONE to close the loop
  • Customer acknowledgement and follow-up in your words, with consent and STOP handled
  • Appointment confirmation and reminder from your calendar, with a reply-to-reschedule line
  • The dashboard, a monthly report, monitoring and the kill switch

What you provide

  • Where leads arrive today, and access to forward them
  • The people who answer leads: names, mobiles, hours
  • Your response target and business hours
  • The words on your form's text-consent checkbox

Texts are sent from a number on your own Telnyx account, so the messages and the per-text cost (a fraction of a cent to a few cents) are yours, capped in the system. Your data lives in your own database and you can export all of it at any time.

Questions owners ask

How many times should you follow up, without being annoying?

Enough to be easy to reach, never enough to feel chased. The follow-up is a short, spaced sequence in your own words, which you approve word for word. It only goes to people who agreed to texts, stays inside quiet hours, and stops the moment they reply or book. STOP ends it at once.

What happens to leads that come in after hours?

They are captured and given an owner the moment they arrive, so nothing waits in an inbox overnight. The response clock counts the business hours you set. If the customer agreed to texts, they get a short acknowledgement in your words, never during the quiet hours you set, so they know a real person will reply.

Who owns the lead when the assigned person does not answer?

Every lead has one named owner, chosen by your rules. If the owner misses the response target, the system tells them, then tells the backup you named. Nobody has to guess whose job it is, and "I thought you called them back" stops happening.

What is a stale lead, and is it still worth chasing?

A stale lead is one with no reply past its target, or one that has stalled for a week. Some can still be won, some cannot. The recovery list puts every one of them in front of a person, so each gets a decision instead of quietly going cold.

How is this different from an answering service?

An answering service takes your calls. Lead Recovery works on the enquiries that arrive in writing: your website form, your lead inbox and the notification emails from the platforms you pay for. It makes sure each one has an owner and a clock, follows up until the customer answers or books, and shows you the numbers.

Do I have to change CRM or phone system?

No. Lead Recovery reads from what you already use and can write back to it. Most clients start with their website form and their lead inbox.

Will it text my customers without my say?

No. Every customer message is approved by you word for word, goes only to people who agreed to texts, stays inside quiet hours, and the follow-up nudges stop the moment they reply or book. Only appointment confirmations and reminders continue, and STOP ends those too.

What does my team actually have to do?

Answer the lead the way they already do, then reply DONE to the alert. That is the whole habit. The dashboard is there when you want it, not something they must check.

Who owns the data?

You do. It sits in your own database, your texts go from your own number, and you can export everything to a spreadsheet at any time. Nothing is shared with any other client.

Is there proof it works?

The first proof is our own: Veris runs Lead Recovery on its own enquiries, and the numbers will be published here as they come in. I will not show you numbers I have not measured. Your own baseline comes from the assessment, before you buy anything else.

What are slow replies costing you? Find out this week.
